How Small Business Voip Phone Systems Can Help Increase Productivity

By Judy Sullivan

Micro and medium enterprises are finding it increasingly difficult to survive in the stormy waters of international economic crises. They do not have access to the vast resources that can help large corporations to weather difficult times. It is therefore vital to cut cost while maintaining high levels of customer service simultaneously. One way in which to achieve this aim is to switch over to voice over internet systems. Small business VoIP phone systems are highly efficient and they save money.

There are many good reasons why so many companies are contemplating a move to internet based communication. Such a move needs careful consideration because no enterprise can survive without efficient communication. However, it is becoming increasingly clear that internet based communication offers users features and flexibility that simply cannot be matched by a PBX solution. In addition, they are easy to manage.

One of the main attractions of internet based communication is the fact that they are so adaptable. They ca be upgraded or downgraded almost at will. New users can be added without having to install new lines. Best of all, a single central system is all that is needed, even if the company has widespread branches and departments. When new branches are opened, they are simply added to the central system.

The flexibility of internet communication also amazes users. Users enjoy the fact that they can gain access to the central system from almost any device such as laptops, smart phones and tablets, even if they are on the road, at home or at the premises of a client. This allows them to provide a higher level of service and there is simply no need to miss an important call.

Of course, the biggest advantage enjoyed by users of internet communication is that they are able to achieve substantial savings. Many companies have reported savings of up to fifty per cent. Savings are also achieved because there is no requirement for a telephone operator at every site or department and because there are no multiple installations of the system.

Traditional systems need constant maintenance. This maintenance takes place at every branch or department and it is an expensive process. Internet based communication is not hosted by the client. Instead, it resides on the servers of the service provider who is responsible for maintenance and upgrades. Maintenance is therefore minimal and as an added bonus users always have access to the latest innovative technologies.

Users of this technology still have access to all the traditional features such as voice mail, call holding and conference call facilities offered by traditional PBX systems but they also benefit from many other innovative features. Fax to email, voice to email and call forwarding to any branch or user, regardless of physical location are just a few of these productivity enhancing features. Users can also generate a variety of management reports.

There can be no doubt that small business VoIP phone systems can save companies money while helping to increase productivity. These systems can be a valuable tool in becoming more competitive. One of the main reasons this is so is that employees can afford to become more mobile and they can therefore offer their clients better service.
